Scope

We are seeking a proactive and dynamic Human Resources (HR) Officer to lead and manage our HR functions while serving as a key link between the HR department and local team members. This role plays a pivotal part in ensuring compliance with U.S. labor laws, driving organizational growth through effective HR strategies, and fostering a positive, inclusive workplace culture. As part of this role, you will also act as the HR Relay for local team members, coordinating and overseeing HR processes with precision and accountability.

Job Description

Key Responsibilities

Employee Relations

  • Act as a trusted advisor to management and employees on HR policies and procedures.
  • Address employee concerns and mediate workplace conflicts to maintain a positive work environment.
  • Provide support to team members on HR-related matters, including benefits, leave, and HR policies and procedures.

Develop, implement, and administer human resources policies and procedures.

  • Handle employee complaints and conflicts while identifying and managing team members' and managers' needs.
  • Administer employee compensation programs, including payroll, benefits, and incentives.
  • Evaluate and recommend improvements to benefits offerings to remain competitive in the market.
  • Support the Chief People Officer (CPO) and Deputy CPO in developing and implementing HR policies and ensuring compliance with relevant legislation and best practices.

Onboarding and Offboarding

  • Oversee the onboarding process for team members, ensuring seamless integration into the organization.
    • Takes the drive of immigration files (work permits, green cards,...) in collaboration with other HR Officers
  • Coordinate offboarding processes, including:
    • Accuracy of paperwork for benefit termination.
    • Deactivation of insurance information on portals.
    • Collect company property and withdraw equipment and cell phone lines.
    • Attendance at offboarding meetings and assistance with employee questions.

Benefits Administration

  • Helps HQ to ensure the implementation of benefits in line with the HR Compensation & Benefits (Comp&Ben) strategy:
    • Review and process renewal plans with brokers for medical benefits.
    • Complete necessary renewal paperwork.
    • Oversee membership-related programs (e.g., sports, lunch plans).
    • Address specific team member questions regarding benefits administration.

Payroll

  • Manage and supervise the payroll process to ensure timely and accurate calculations and statutory deductions.
  • Support with relevant data for payroll and insurance processes.
  • Prepare payroll reports.

Compliance & Reporting

  • Ensure compliance with federal, state, and local labor laws, including FLSA, FMLA, and EEO regulations.
  • Maintain accurate employee records and prepare required reports for regulatory bodies.
  • Supervise office and team member registrations and declarations to ensure compliance with local rules and regulations.

Training & Development

  • Identify training needs and implement learning and development programs to upskill employees.
  • Support leadership development initiatives to build a strong management pipeline.

Profile

  • Bachelor’s degree (or above) in Human Resources, Business Administration, or a related field.
  • Minimum 5 years of experience in payroll, benefits administration, and HR compliance in the USA.
  • Certifications preferred: CPP (Certified Payroll Professional), SHRM-CP, or PHR.
  • Ability to coordinate with legal counsel and government agencies to support the hiring or secondment of EU citizens in the U.S.
  • Experience working in a multinational company and reporting to an international HQ is highly preferred.
  • Strong knowledge of U.S. payroll laws, tax regulations, and benefits compliance (ACA, FLSA, ERISA, COBRA, Prime Pay, Horizon, etc.).
  • Experience or strong knowledge of U.S. immigration processes, including work visas (H-1B, L-1, O-1), Green Card sponsorship, and compliance with USCIS regulations.
  • Ability to coordinate with legal counsel and government agencies to support the hiring or secondment of EU citizens in the U.S.

Technical Skills:

  • Proficiency in payroll and HRIS systems (e.g., iSolve, SuccessFactors).
  • Strong analytical and reporting skills with Excel and payroll reconciliation tools.

Soft Skills:

  • Excellent communication and collaboration skills, especially in working with international teams.
  • Strong attention to detail and ability to manage confidential information with discretion.
  • Problem-solving mindset with the ability to work independently while aligning with HQ strategies.
